Meet QaceHomes PMS: A Back Office Built for Property Owners and Managers
By Oluwatobi Fagbohungbe, Founder & CEO of Qace Homes

If you own or manage property, I have good news for you. It isn’t something new, it’s something better. A more robust way to run your properties, built around how the work actually happens.
Many property owners and managers have tried one property management system after another and never quite found the right fit or the one that matched their workflow and solved their specific problems. That’s exactly the gap we set out to close.
I’m proud to introduce QaceHomes PMS: a property management solution built by listening to what owners and managers want, and to the pain points they face every day.
Built on real conversations
QaceHomes PMS is one of our business units, and we’re ready to launch. But before we got here, we did the essential work first: we reached out to property owners and managers, we listened, and we built a system that answers most of your most pressing needs. Here’s what that looks like in practice.
Your dashboard: the whole business at a glance
Everything starts where you start each day, and that’s the dashboard. The moment you log in, it gives you a quick summary of everything that matters, so you understand the health of your entire portfolio without digging through menus.
At a glance, you can see how many properties and units you have, how many are let, and your occupancy rate. You can see your revenue for the month, your rent roll, your arrears, and your collection rate, a complete financial snapshot in one place.
A collected-revenue chart lets you track performance over 30 days, 90 days, or a full year. A leasing snapshot surfaces vacant units, expiring leases, and applications. A maintenance snapshot shows open tickets, urgent issues, and anything still unassigned. And a live activity feed keeps you updated on everything happening across your account in real time. In short, the dashboard is your command centre — one screen that tells you exactly where your business stands.

Properties, units, and a shareable portfolio
From the dashboard, you can add your properties and the units tied to each one, then showcase them through a portfolio. A single public link lets you share that portfolio directly with prospects. When a prospect clicks through, they can express interest by filling out your application form or requesting an inspection, and they’re added to your pipeline automatically. No manual follow-up, no scattered spreadsheets.
A complete leasing flow
The lease feature lets you lease a unit under any property. As an owner, you can invite a tenant to a lease and guide them through the full journey i.e from inspection, to document signing, to handing over the keys, entirely within the PMS.
You control which steps are mandatory and which are optional. Send an e-signature request for tenants to sign digitally, or let them upload an already-signed document. Whichever route they take, QaceHomes keeps a record for you.

Maintenance — plus a dedicated tenant app
Maintenance is where day-to-day management gets easier. You can raise a ticket for anything that needs fixing, and your tenants can raise their own tickets through the tenant app.
That’s right — QaceHomes includes a tenant app. It lets tenants keep track of their documents, rent receipts, maintenance receipts, and more, all in one place.

On the management side, maintenance comes with a Kanban board for moving tickets across each stage at a glance, a recurring feature for scheduled inspections, and a calendar view that shows your tasks, inspections, and visits by day, week, month, or year.

Pipeline and inspections
The pipeline feature gives you a clear view of your prospects, analytics on your properties, and everyone who has applied or shown interest. You can also set up regular inspection routines with your tenants, so nothing slips through the cracks.

People and vendors
Under the People section, you can add vendors such as plumbers, electricians, carpenters, and others, and tie them to your properties. When a maintenance request or ticket comes in, you can assign it directly to the right person.
Finance and reporting
The finance module gives you a clear picture of how your properties are performing monthly, quarterly, or yearly. You can see exactly what the books say about profit, loss, and expenses.
The Reports module builds on this with the reports that matter most: rent, revenue, profit and loss, arrears, vacancy, VAT summaries, and more. As a property manager myself, it’s one of my daily go-tos. And for landlords in the diaspora, it means you never have to wonder how your properties are doing back home — the full picture is always a click away, wherever you are.
Bulk import
To get you up and running quickly, the import feature lets you bulk-upload your properties, units, and tenants — no tedious one-by-one entry required.
Settings and team roles
Under Settings, you can manage everything that powers your account: your organization, branding, email, banking, lease templates, lease activation, viewings, profile, account, notifications, team, AI assistant, inspection templates, and expense categories. For lease templates, you can use a default or upload one you already have.
One feature I find especially powerful is Team. You can invite team members into QaceHomes PMS and assign each of them a role with specific permissions. Someone in a finance role, for example, can view and share but cannot add or edit properties. Everyone gets exactly the access they need — and nothing more.

Activities
The Activity feature rounds this out, letting you see who is doing what on your platform at any point in time.
